Work or Job Schedule Set Up Guide

Our online calendar and mobile app make it easy to share work schedules from anywhere.  You and your team can access the schedule from any PC, Tablet, or Smartphone by entering a simple calendar URL.  Here are some setup tips.
 

 Add Staff Member Calendar Categories:

Manage a staff member's schedule by adding a category for each staff member.  This will allow you to color code font and legend color for each staff members schedule.  Optionally, prevent double booking of a staff member.  

To add a Category:

Click the Admin Menu button > Categories > Add > Enter a category name, e.g.  "Sandra Smith" for a person's schedule.  Select "Who can view events in this category" > [Save]  Repeat for each team member.

Quick Tip: Give team members editing permission or private category viewing permission.
 
Go to:  Admin Menu > Users and Subscribers > [Invite User] > Enter user email and password to allow viewing of private categories and select editing permission > [Save]


 

 Email Reminders & Announcements:

To email event announcements, invites or reminders, create a user account for each staff member.  You can also request an RSVP response as Accept, Decline, or Maybe.  To do this:

Click the Admin Menu  > under Calendar Settings > Users & Subscribers > Add > Enter user info including an email address > Save


 

Quick Tip:  When adding an event, click [More Event Options...] button > Invite & Remind tab > set the emails you wish to send.

Assigning a job? Request that your staff member RSVP as Accept, Decline, or Maybe.


 

 Allow Staff members to add and edit only their own events:

Staff members can add events to a category and edit only the events that they've added.  To do this:

Click the Admin Menu button > Categories > Add or Edit the category to which you want to give the self-book permission > Advanced Property Tab > Select D. Self Booking > Save

Now, any logged-in users (*that can view the category*) can add events to this category and edit only the events that they've added.  


 

 Share your calendar link with your staff:

www.calendarwiz.com/yourcalendaridentifier

Insert your calendar name where it says "yourcalendaridentifier" in the link above before sharing with your staff.
